A file hidden on this device

A patient file that stops reaching a device is hidden there, its keys destroyed, and shown again when a key for it arrives.

A patient file reaches your device only while a right brings it: your role in the practice, a cover, a handover, an assignment, or a copy sent to you. When the last of those ends — a cover reaches its end date, a patient is assigned to someone else, you are removed from a practice — the file stops reaching the device.

The device then hides the file. It destroys the keys it held for it: the file's keys and the keys of every entry, photo and recording it had not written itself. The rows stay on the disk as sealed husks nobody can open, and the patient is neither listed nor opened — reading the file is exactly like it never being there. What you wrote yourself is kept: your own notes, their sessions and media, and the patient's name to file them under. An assistant keeps nothing of a file no longer assigned to them.

A hidden file comes back by itself when a key for it arrives — a new cover, a change of treating clinician that names you, an assignment, or an ordinary invitation after a rehire. The entries you had lost come back from the sync server as they are delivered again.

Two things are different:

  • A practice's Delete under Retention removes the file for everyone who held it through the practice. It is never shown again, and no key for it can arrive.
  • A copy you hold — the copy you took when you left a practice, or one sent to you — is yours. It is not hidden when a grant ends.

  • Cover while you're awayA colleague of your profession in your practice sees and writes in your patients' records from a date until a date; when the cover ends, what they borrowed is destroyed and their own notes stay.
  • Changing the treating clinicianInside the practice a patient passes to a colleague by naming them the treating clinician: they receive every key of the file and continue it, with the earlier entries underneath.
  • Keepers and retentionEvery copy of a record has one keeper, who types their own number of years; when a record passes it, the keeper chooses Keep or Delete, and the app never deletes on its own.
  • PatientsEvery patient you can see, how to find one, and how a new patient is added to your practice's files.
  • Who sees whatA patient file has three layers — identity, money and clinical — and your hat in the practice decides which reach you; a grant adds patients, never layers.
