The lapse rule

The one deletion the sync server does by itself: a person's own copies, a set time after they stop holding a seat.

SideClick never deletes a record on its own, with one exception. When you stop holding a seat — your subscription ends, the practice that paid for your seat takes it back, or your seat is suspended — a clock starts on the sync server. After 90 days the server deletes the copies that only your rights stood behind: the entries, media and keys nobody else holds. That is the lapse rule.

Until then nothing is lost and little changes. You can still sign in, read your records and export them; what you cannot do is send anything new. Settings → Your seat shows the state as Ended and the day the server copy goes.

The clock clears the moment you hold a seat again — a renewal, a new invitation with a seat, a suspension lifted — and everything on the server stays as it was.

What the lapse rule never touches:

  • A practice's files. Entries you wrote in a practice's records belong to that practice's file and stay with it.
  • Copies held by someone else. A copy sent to a colleague is theirs, under their own rights.
  • Your own devices. They keep what is on them, whatever happens on the server.

Every other deletion is a keeper's choice: Keep or Delete on the Retention screen for a practice's file, or your own Delete for a copy you hold.

  • Keepers and retentionEvery copy of a record has one keeper, who types their own number of years; when a record passes it, the keeper chooses Keep or Delete, and the app never deletes on its own.
  • What the sync server can seeEvery entry reaches the sync server sealed, under a key only the people who may open it hold; the server keeps the sealed copy and cannot read it.
