A practice is the clinical business under one practice number. It keeps the file of every patient opened in it, and the number goes on every invoice. You set it up under Settings → Practice and people, and its practice owners decide everything about it there: who is in it, whether members keep their own copy, and its retention period.
A clinic is the business around practices. It is only needed when one business holds more than one practice, or when the business owner is not a clinician. A clinic owner sees the business side of every practice in the clinic — the combined diary, bookings, invoices and payments — and never a note. A clinic's front desk and bookkeeper serve every practice in it.
The people in a practice:
- A practice owner holds the practice number, sees every patient of the practice, invites and removes people, sets a member's end date, and decides for the practice's files.
- An associate is a clinician under the practice's number. They see the patients they treat; a colleague's patient reaches them only through a cover, a change of treating clinician or a handover.
- An assistant works under a named supervising clinician, who assigns them patients and co-signs their notes. An assistant writes but cannot sign, and never holds the money side.
- The front desk opens patient files, keeps the diary, books, and sees invoices and payments — never a note or a document.
- A bookkeeper sees invoices and payments by file number, and never a note.
One person can wear several hats: a practice owner here, an associate elsewhere, the clinic owner above both. The rules attach to the hat you wear in the practice a patient's file lives in.
Related
- Who sees whatA patient file has three layers — identity, money and clinical — and your hat in the practice decides which reach you; a grant adds patients, never layers.
- SeatsEveryone who signs in holds a seat — a free trial or a subscription — and every clinician seat comes with a free seat for a front desk or bookkeeper.
- A member until a date, and leavingA membership can end on a known date, exactly as a removal; a clinician who leaves takes a copy of their own entries and patients if the practice lets members keep their own copy.
- Assistants and co-signatureAn assistant works under a named supervising clinician, sees only the patients assigned to them, and writes notes that wait for the supervising clinician's co-signature or come back for changes.
- Cover while you're awayA colleague of your profession in your practice sees and writes in your patients' records from a date until a date; when the cover ends, what they borrowed is destroyed and their own notes stay.
- Changing the treating clinicianInside the practice a patient passes to a colleague by naming them the treating clinician: they receive every key of the file and continue it, with the earlier entries underneath.
